Groundbook AI Privacy Policy

This Privacy Policy explains how Matter0, Inc. ("Matter0," "we," or "us"), makers of Groundbook AI, collects, uses, shares, and protects information when you use Groundbook AI, groundbook.ai, and our related services (collectively, the "Service").

1. Information we collect

We collect the following categories of information:

  • Account information: your name, work email address, company, login identifiers, and account settings.
  • Customer Project Data: construction drawings, specifications, calculations, page images, extracted facts, graph data, AI-generated findings and reports, audit trails, corrections, issue accept/reject decisions, comments, and other project-specific information submitted to or created through the Service.
  • Communications: messages and information you provide when you contact us for support, request deletion, opt out of model training, or otherwise communicate with us.
  • Usage and technical information: features used, interactions with the Service, diagnostics, browser and device information, IP address, and information needed to secure and operate the Service.
  • Payment information: purchase and transaction records. Payment card details are processed by our payment provider and are not stored by us.

2. How we use information

We use information to:

  • provide, operate, secure, and support the Service;
  • process purchases and maintain transaction records;
  • review construction documents and generate project-specific findings and outputs;
  • respond to questions, investigate errors, and resolve processing failures;
  • evaluate and improve the accuracy, reliability, prompts, tools, routing, workflows, AI harness, and models used by Groundbook;
  • understand how the Service is used and develop new features; and
  • comply with law and protect the rights, safety, and security of our customers, our company, and others.

We do not sell personal information or Customer Project Data. We do not use personal information for third-party advertising.

3. How project data improves Groundbook

We use Customer Project Data and de-identified learning data in the following ways:

  • Service operation, support, and issue investigation: We process and, when necessary, review project data to deliver the Service, provide support, investigate errors, and verify the quality of findings.
  • Internal evaluation and AI harness improvement: We use project data to evaluate and benchmark accuracy and improve prompts, tools, routing, workflows, and other parts of our AI harness. This may include modified internal test copies with intentionally introduced errors. This use is necessary to provide and maintain a reliable Service and cannot be opted out of.
  • Groundbook model training: By default, we may use necessary drawing excerpts, corrections, issue decisions, comments, and de-identified learning data to train models developed and used internally by Groundbook to provide and improve the Service. This is Groundbook's internal model-training process, not training performed by third-party AI vendors. We do not send or share this Groundbook training data with third-party AI vendors for their model training. We never share or show this training data to other customers. Before training, we remove or mask personally identifiable information in title blocks and make reasonable efforts to remove or mask other information that identifies you, your company, or your project.

You may opt out of future Groundbook model-training runs at any time by emailing support@groundbook.ai. After the opt-out takes effect, we will not use your data in future model-training runs. The opt-out does not reverse completed training or improvements and does not apply to service operation, support, internal evaluation, or AI harness improvement. Opting out may cause your experience and the precision and recall of findings to improve more slowly.

4. De-identified learning and abstracted knowledge

We may create labels, failure types, evaluation results, performance metrics, and other learning signals that have been aggregated or de-identified so they do not identify you or your projects and do not reproduce Customer Project Data. We may also retain general technical or jurisdictional knowledge after removing customer, project, address, and drawing details.

Raw corrections, comments, excerpts, and other project-specific records remain Customer Project Data until they meet this de-identification standard.

5. How we share information

We do not directly provide or show your Customer Project Data to another customer. Another customer cannot see your projects or anything identifiable as yours.

We share information only with service providers that help us operate the Service, including:

  • Amazon Web Services for cloud hosting and storage;
  • Stripe for payment processing;
  • analytics and operational service providers; and
  • commercial AI model providers used to process requests.

These providers may process information only to provide services to us and must protect it under their applicable contractual obligations. Every AI model provider we use processes Customer Project Data under commercial API terms that prohibit it from training its models on that data. We may also disclose information where required by law or necessary to protect legal rights, safety, or security.

6. Data location and security

Customer data is securely hosted in the United States using Amazon Web Services. We apply the safeguards described in this Privacy Policy regardless of where you are located.

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No method of storage or transmission is completely secure.

7. Retention and deletion

Deleting a project in the app removes it from your active workspace but is not a permanent-deletion request. We may retain recoverable copies to restore data lost through user or system error.

To request permanent deletion of Customer Project Data, email support@groundbook.ai. We will confirm when permanent deletion is complete, except where law requires retention.

De-identified labels, aggregate metrics, evaluation results, abstracted technical or jurisdictional knowledge, and improvements already incorporated into models or the AI harness survive permanent deletion because they no longer identify you or your projects.

8. Your choices and privacy rights

You may email support@groundbook.ai to:

  • opt out of future Groundbook model-training runs;
  • request access to personal information we maintain about you;
  • request correction of inaccurate personal information; or
  • request deletion of personal information or Customer Project Data.

Available rights may depend on where you live. We may need to verify your identity and authority before completing a request. We will respond in accordance with applicable law.

9. Changes to this Privacy Policy

We may update this Privacy Policy as the Service changes. We will provide notice of material changes by email or through the Service before the changes take effect.
