A drawing-versus-specification conflict is a case where the drawings and the project manual describe the same material, product, system, or requirement differently—a door scheduled at one rating and specified at another, a product named on a detail that the spec section does not include, a performance value that appears in two places with two numbers. They are a leading source of RFIs and change orders because bidders are entitled to price what the documents say, and the documents say two things.

Why drawings and specifications drift apart

Drawings and specifications are written by different people at different times with different tools. The drawings move with every coordination meeting; the specifications are often assembled from a master late in CDs and edited once. A product changes on a detail and the spec section keeps the previous manufacturer. A rating changes on a life-safety plan and the door schedule follows, but the hardware section does not. Neither author is wrong inside their own document; the conflict lives between them.

Seven conflict types to look for

  1. Rating and performance mismatches. Fire ratings, STC values, U-values, wind loads, or slip resistance stated differently on a schedule, a detail, and a spec section.
  2. Product and manufacturer mismatches. A named product on the drawings that does not appear in the specification's product list, or a basis-of-design that contradicts a drawn dimension.
  3. Missing sections. A material or system on the drawings with no specification section at all—common for late additions such as a canopy, a specialty ceiling, or a new equipment type.
  4. Orphan sections. A specification section for work that is no longer in the drawings, which bidders may price anyway.
  5. Quantity and extent conflicts. A spec that describes a finish "throughout" while the finish schedule limits it to certain rooms, or an allowance in Division 01 that does not match the drawn scope.
  6. Submittal and testing requirements the drawings cannot meet. Mock-ups, tests, or certifications specified for assemblies that are detailed differently, or not detailed.
  7. Division 01 versus drawing notes. Phasing, temporary facilities, hours of work, or closeout requirements in the general requirements that contradict notes on the cover sheet or site plan.

What governs when they disagree

Most construction contracts include an order-of-precedence clause that says which document controls in a conflict, and many say the more stringent requirement governs. That clause resolves the dispute; it does not remove the cost. A bidder who priced the less expensive reading will submit an RFI, and the answer becomes a change order or a credit. Confirm the precedence language in the project's own contract with the owner's counsel or contract administrator—this guide does not give legal advice—and treat every conflict you find as one that should be fixed before bid regardless of which document would win.

A review routine before bid

  • Build the two lists. Every material, product, system, and equipment tag on the drawings; every specification section in the project manual. Match them both ways. Unmatched items on either side are findings.
  • Check the schedules against their sections. Door and hardware, finishes, equipment, plumbing fixtures, and lighting are where most rating and product conflicts sit.
  • Check the details against the sections. Notes on details often name products and performance values; compare each to the section it belongs to.
  • Read Division 01 with the cover sheet and site plan. Phasing, access, and temporary work conflicts are cheap to fix and expensive to argue.
  • Log every conflict with both references. Sheet and detail on one side, section and paragraph on the other. Route to the discipline that owns the drawing and the spec writer together.
