Establish the issued base package and included addenda, identify what each instruction replaces or adds, and trace the change into schedules, details, specifications and trade interfaces. Resolve precedence and open pricing questions before the bid closes.
Separate an instruction from a full reissue
Record each addendum number, issue date, instruction and attachment. A replacement sheet may supersede one drawing while leaving the remainder of the set unchanged. A written clause can revise a requirement without replacing the original PDF.
Keep the base issue available so the reviewer can understand the before-and-after condition. The revision review guide covers this baseline decision; the addendum checklist adds the bidding handoffs.
Trace one changed selection
Suppose a hypothetical addendum changes a rooftop unit. The mechanical schedule reflects the new model, but the electrical circuit and structural support detail still describe the original selection. Review the submitted weights, power and connection data against those receiving documents.
The output should identify the conflicting sources and an answerable question: which selection governs, and which dependent documents need revision? It should not assign a price or assume that a larger unit automatically creates a change order.
Eight checks before the bid closes
| Check | Sources | Review question |
|---|---|---|
| Issue list | Base register and addendum transmittals | Have all issued addenda and their attachments been included? |
| Affected source | Addendum instruction and original clause or sheet | What is replaced, added or deleted, and where? |
| Unclouded effect | Changed requirement and dependent documents | Which unchanged sheets rely on the revised value? |
| Equipment scope | Schedules, controls, utility and support information | Does the revised selection agree across the receiving disciplines? |
| Specification change | Amended clause and drawing requirements | Do the performance, material and installation requirements agree? |
| Trade boundary | Scope instructions and interface details | Who prices the changed connection, opening or accessory? |
| Bid response | Question log, clarification and bid form | Has the team recorded the answer or explicit pricing assumption? |
| Final baseline | Complete review register and accepted clarifications | Can every bidder identify the same governing package? |
Make the pricing question answerable
Record the affected item, competing source references and decision needed. Identify the trade scope and the deadline for clarification. An estimator should be able to distinguish a confirmed requirement from an allowance or unresolved assumption.
Track the response in the pre-bid question log. If the response points to another document, include that document in the package and backcheck the affected interfaces. A response that simply says “per drawings” can leave the original discrepancy unresolved.
A published coordination example
The dental clinic review includes equipment and utility information that needed reconciliation across the package. It illustrates the relationships to trace when a selection changes. The published case does not claim the conflicts were introduced by an addendum.
Use a complete set for the comparison where the affected references cross disciplines. The visible change alone may be too narrow to explain the consequence.
