Reflected ceiling plan review checklist

A reflected ceiling plan brings several disciplines into the same room. Review both the visible ceiling layout and the information needed to explain what happens above it.

Start with matching room boundaries, ceiling types, and height references, then compare fixtures, air devices, fire-protection layouts, and access locations across disciplines. Record unresolved interfaces with sheet references and ask the responsible designers to confirm the intended arrangement.

Assemble the ceiling review package

Gather the architectural reflected ceiling plans (RCPs), room finish schedule, ceiling details, lighting plans, HVAC layouts, fire-protection drawings, and relevant sections. Establish the governing issue before overlaying sheets. A different date does not by itself make a sheet obsolete; check the drawing register and transmittal.

The RAIC electrical drawing checklist provides professional context for comparing architectural and engineering information. It is Canadian quality-assurance guidance, not a project-specific permit standard. The workflow below is a suggested way to organize your team’s review.

Eight ceiling coordination checks

  1. Room identity. Match room numbers, partitions, and orientation before comparing device positions. Record any background that has not caught up with the architectural issue.
  2. Ceiling definition. Follow each ceiling designation to its material, system, and height note. Identify where a height is measured from and how sloped or stepped conditions are described.
  3. Lighting layout. Trace fixture symbols to the lighting legend and schedule. Ask the designers to resolve differences in type, count, or position between the RCP and electrical sheet.
  4. Air devices. Match supply, return, and exhaust devices to the mechanical layout. Record overlapping symbols as questions; a plan symbol alone does not establish the physical envelope.
  5. Fire-protection interfaces. Compare shown sprinklers, detectors, and related devices with ceiling geometry. Refer coverage and placement decisions to the relevant designer and applicable project requirements.
  6. Access. Locate items identified as needing maintenance access. Ask which panel or removable ceiling area serves each item and whether the supporting information establishes a usable route.
  7. Vertical space. Trace congested areas into sections and details. Where only plan views exist, request the elevations needed to assess beams, services, insulation, and ceiling supports together.
  8. Edges and transitions. Review soffits, bulkheads, curtain pockets, and changes of ceiling type. Follow detail references and identify unresolved interfaces at room edges.

Worked example: an access panel with no clear target

Illustrative example: an RCP shows an access panel near a corridor junction, while a mechanical detail identifies a service point elsewhere above the ceiling. Do not assume the nearest panel serves it. Record both locations, request the service envelope and access direction, and ask the team to identify the intended panel.

If the documents establish that access is possible through a removable ceiling area, record that explanation and its source. If they do not, keep the item open for a coordinated detail. Record a question that can be closed

For each issue, record the location or tag, both source references and revisions, the conflicting values or missing information, the responsible reviewer, and the decision needed. After a response, identify the revised sheets and check dependent details before marking the item resolved. A response without coordinated drawing changes may leave the original ambiguity in the issued set.

Can a ceiling overlay prove that everything fits?

No. An overlay can reveal plan-view disagreements, but vertical fit and service access need dimensions, elevations, sections, and equipment information.
